For the square necklaces, we’d like to stop production now at whatever quantity is completed and then wait and bring that quantity here in May for summer 2007.

We have processed PO 6170 in our warehouse. This will be submitted to finance for payment. Please note payments go out once a week.

We are also concerned that this PO was not completed on time and we requested to move shipment to another season. I have attached the correspondence from our Sourcing team regarding this. In the future we will not be able to accept orders that are late without approval first from our Sourcing team.

Dear Maria,

I’m disappointed that there was so much confusion from lack of

communication on this order. Your products are beautifully crafted,

and we were very excited to work with you and your artisans to make

them part of our product line.

However, I’m very concerned about the disregard for my requests

regarding this order and the way events occurred. There is a great

deal of planning that goes into our ordering process and these

necklaces were a crucial part of our Spring and Valentine’s product

line. The production deadlines are highly critical. When products

arrive late we are left with surplus items during the incorrect

season, making the selling process quite difficult and creating many

problems for us. This order, was supposed to be ready January 10th so

that it could arrive in time for the Valentine’s day and Spring season.

As we state in the Vendor Guidelines that you signed, we reserve the

right to cancel an order that is not completed by the stated deadline.

However, we don’t ever want to have to do this – instead we make a

great effort to communicate with the artisan group to prevent that.

When problems arise and production is not on schedule, we try our best

to make a decision that will work for the artisan group and us. Once

we knew the order was not ready on time, our intention behind asking

you to stop production was to make it possible for us to at least

bring the necklaces in at a later date during the summer so that we

would not have to cancel the order.

Unfortunately since you did not respond to my many emails and

requests, we were not aware that this was a problem and we were not

able to make accommodations for you and the artisans. The most

important thing in a working relationship is to have clear

communication so that we know what challenges you are facing and you

can understand what our requirements are as well. When there was no

communication from you, we had no way of knowing what was happening.

Since you chose not to communicate and to disregard our guidelines, it

does not provide us the confidence in a continuing and growing

relationship. We would love to be able to continue to bring in

products from you, but actions like this are not acceptable. We need

you to communicate with us and make sure you inform us immediately of

any problems as soon as they arise. If there was an issue with the

cost of production and of paying the artisans, you should have

informed us immediately and we could have worked something out.

I hope that we can keep our communication open so that this does not

happen again. Please let me know your thoughts and if you have ideas

on how we can improve this in the future.
